Dr. R.
Headway does somethings well, but...
Recently, I had a 60-minute session with a client who has insurance. At the time of the appointment, the client had a $0 copay and a payment method on file. Unfortunately, by the time I went to confirm the session, the payment method was either missing or no longer valid. Headway would not allow me to confirm the session, stating that the client needed to have a valid payment method on file. Not only was I unable to confirm the session, but I also ended up not being paid for a session I had already conducted, one that insurance would have covered. I have a busy practice, in large part because of my specialty, and I see a substantial number of clients through Headway. So the amount of money itself was not the issue. What concerns me is the principle behind this policy. It does not seem reasonable to financially penalize the clinician for Headway's inability to collect a copay or maintain a valid payment method on the client's account. The clinician provided the service, the client had insurance coverage, and the claim should otherwise have been payable. In my view, shifting that financial burden to the clinician is simply not right. If there is an issue with a client's payment method or Headway is unable to collect a copay, there should be a mechanism to address that issue with the client without making the clinician absorb the cost of a session that was otherwise covered by insurance. I would hope that Headway will reconsider how situations like this are handled. The issue is not the amount of money, it is the fairness and integrity of the process and ensuring that clinicians are not penalized for circumstances outside of their control.

Hi Dr. Rezazadeh, Thank you for laying this out so clearly. The concern you're raising — about the fairness of placing the financial burden on a clinician when the session was otherwise covered — is a legitimate one that deserves a substantive response. Because this involves account-specific information and policy considerations, we can't address the details publicly, but we want to make sure your feedback reaches the right team.
