Unfair billing
We're a small company on an annual Pro license. Our invoice was up for renewal today, but we wanted one less seat than we'd paid for last year. Clockify's website showed the number of seats we were about to pay for, but said it would not let us reduce the number of seats until we had paid the invoice. My business partner and I found this very confusing. There was other messaging on the page to say that we needed to renew within 14 days or else we'd be downgraded, so we figured that surely the process must be to pay, and then claim a refund for the seat we were not going to make use of for the whole year. Immediately upon having paid for all our seats (again, it wasn't possible to renew for less seats) we reached out to customer support to request a refund. The response we received from Clockify said 'I understand that this was not the answer you were hoping for' but 'this particular situation falls outside the scope of charges that are refundable'. I find this approach to customer service staggering. Clockify are effectively saying: 'I know our website just steered you towards paying for something you didn't want, but we've got you cornered by our terms of use'. If this is Clockify's attitude towards customers, we'll be looking for an alternative as quickly as possible. EDIT: (A question/response to Clockify's reply) @Clockify you say: "Further more we offer 14 days grace period for payment and during that time users can reach out to us if they want to request certain changes regarding the invoice." I would like to point out, again, that your website would not let me change the number of seats prior to paying. It told me I would need to pay first before changing the number of seats. Furthermore, I am still within the grace period as I write this, and yet you will not adjust my bill. As a customer, I feel that I am being treated unfairly, and that I have been made to pay $95 for something I don't need.

Hi Rob, Thank you for sharing your experience with us, and I'm sorry to hear about the confusion you encountered during your recent renewal process. We appreciate your feedback, as it helps us improve our service. I'd like to clarify a few points regarding your case. 1.Please note that Clockify informs users about upcoming subscription renewal 7 days in advance. Further more we offer 14 days grace period for payment and during that time users can reach out to us if they want to request certain changes regarding the invoice. 2.To make changes to the number of seats on your annual subscription, it's essential to adjust your seat number before the invoice becomes past due. 3,.This way, you can ensure that you're billed for the number of seats you need. 4.Regarding the refund, I want to clarify that we generally do not offer credits in situations like these, since the invoice for renewal was past due. However, in this case, we made an exception and offered a credit that can be used for future invoices or to add new seats. Hope this clarifies it a bit. If you decide to get credit for the removed seat, don't hesitate to reach out to your customer support agent and will add credit to your workspace. Have a great day!
