Mail Retention Policy
While Asura have not published a mail retention policy, they keep on deleting mails older than 90 days. This has now happened on 3 occasions on when it happened again on 30/9/2026, in their own words in response to their ticket "We understand your concern and apologize for the frustration. The reason emails older than 90 days may be removed is likely related to the mail server's retention policy. A retention policy is a server-side setting that determines how long emails are stored on the server before they are automatically deleted or removed. Meanwhile, if you have any other questions or concerns, please do not hesitate to ask." Then later on in the ticket after I challenged them on this their response included "The emails were being removed by an automated server-side cleanup process. This process is designed to remove older, unused mail data to help manage server storage usage and maintain disk space and server performance." and again "We apologize for the earlier unclear responses and for the inconvenience caused. We will ensure the appropriate configuration is reviewed so that this does not happen again." Yet here we are today and again - all mail older than 90 days has been removed and I am told to simply restore a backup from Jet backup. Let me add to this : 9/10 Hello Chad, I have had a very detailed look at this now and did pinpoint this to cpguard still accessing an old symlink'd mail folder (So it still had access to it essentially). I removed that symlink entirely and confirmed it can no longer access it at all. It should be fully resolved now. Again, I do apologize. Do let us know if you have any further questions or concerns. Mike Then John later on 9/10 We sincerely apologize for the repeated issues and understand your concerns regarding the missing emails and backups. We will continue to monitor the affected email accounts closely to ensure that the email deletion issue does not recur. We will also review the JetBackup configuration to verify that daily backups are configured correctly and that the backups include the email data for the respective dates. Please be assured that we are taking these concerns seriously and will work to ensure that both email integrity and backup reliability are maintained. Now me on 16/10 We have just been notified by our clients and we have verified that while the restore's done previously did in fact restore mails, it did not restore anything older in the inboxes than Jan 2026, Folders and Sent items are fine, but clients have now lost 1000's of mails that were in their inboxes. Please let me know how you intend on remedying this? The Restore I did today which was for the 10th being the oldest on the restore list did not contain any inbox mails older than Jan 2026. The restore I did on 8/10 which was for I think the 4/10 did, so mails have disappeared again, but only in the inbox John's reply Please note that the CPGuard security cleanup process may remove older emails, which could be causing the issue. If you have a backup available, kindly upload it so that we can assist you with restoring the missing emails. Do let us know if you have any other concerns. NOTE : They expect me to provide them for the backup to fix their mistake!!! and confirm that CpGuard is still deleting mails
